This Privacy Policy describes how FieldSync Pro ("we," "us," or "our") collects, uses, and shares information when you use our HubSpot integration application and related services (the "Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

1.1 Account Information

When you install FieldSync Pro from the HubSpot Marketplace, we collect:

  • Your HubSpot portal ID and account information
  • Your name and email address (as provided by HubSpot during OAuth authorization)
  • Billing information (processed securely by Polar, our payment processor)

1.2 HubSpot CRM Data

FieldSync Pro accesses HubSpot CRM data solely to perform the sync operations you configure. This includes:

  • Object property values referenced in your sync rules (e.g., Contact.Phone, Deal.Amount)
  • Object association information needed to execute rollup calculations
  • Property metadata (names, types, options) to populate the rule builder interface

We do not store your CRM data. Property values are read from HubSpot, processed in memory to evaluate sync rules, and written back to HubSpot. No CRM records or property values are persisted in our databases.

1.3 Usage Data

We collect anonymized usage data including:

  • Number of sync rules configured
  • Number of sync operations executed
  • Rule types used (copy, rollup, calculated, conditional)
  • Error rates and performance metrics

This data is used to monitor service health, improve performance, and plan capacity.

1.4 Technical Data

We automatically collect standard technical data when you access the FieldSync Pro dashboard:

  • IP address
  • Browser type and version
  • Device type and operating system
  • Pages viewed and time spent

2. How We Use Information

We use the information we collect to:

  • Provide the Service: Execute sync rules, process rollup calculations, and display execution logs
  • Manage your account: Process billing, enforce plan limits, and communicate service updates
  • Improve the Service: Analyze usage patterns, diagnose technical issues, and optimize performance
  • Communicate with you: Send transactional emails (billing receipts, limit notifications, service alerts)

We do not use your data for advertising, sell your data to third parties, or use your CRM data for any purpose other than performing the sync operations you configure.

3. Data Storage and Security

FieldSync Pro infrastructure is hosted on Cloudflare. Account data and sync rule configurations are stored in encrypted databases. All data in transit is encrypted with TLS 1.2+.

Security measures include:

  • Encrypted storage at rest for all databases
  • TLS 1.2+ encryption for all data in transit
  • OAuth 2.0 token management with HubSpot (tokens are stored encrypted and refreshed automatically)
  • Role-based access controls for internal systems
  • Regular security audits and dependency updates

5. Data Retention

We retain your account data and sync rule configurations for as long as your account is active. Execution logs are retained for 30 days and then automatically deleted.

When you uninstall FieldSync Pro or request account deletion, we will:

  • Delete all sync rule configurations within 24 hours
  • Delete all execution logs within 24 hours
  • Revoke HubSpot OAuth tokens immediately
  • Retain billing records as required by law (typically 7 years)

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate personal data
  • Delete your personal data ("right to be forgotten")
  • Export your data in a portable format
  • Object to or restrict certain processing activities

7. Children's Privacy

FieldSync Pro is a business-to-business service and is not intended for use by individuals under 16 years of age. We do not knowingly collect personal information from children.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Last updated" date. For significant changes, we will send an email notification.
